Improvements to customer messaging and the ability to target contacts based on their past and current course bookings are among the Envibe software upgrades released in June.

The updates are part of Jonas Leisure’s commitment to regularly improving the Envibe leisure management software to better support staff at gyms, fitness clubs and leisure centres.

Automated Trigger messaging improved

One of the powerful features of Envibe is its ability to automatically send template messages to customers when a certain ‘Trigger’ condition is met. These conditions might include when membership renewal is due, or when a member signs up for a new course.

Some Envibe users have asked to be able to add attachments to these automated messages, so that feature has been introduced in the latest update. As a result, it’s now possible to attach useful information such as facility maps or welcome guides for new swim school participants.

We’ve also made it possible for Envibe leisure management software users to set up multiple “from” addresses, within their account, so that emails from different parts of a business can be differentiated for recipients (e.g. gym@yourfacility.com, swim@yourfacility.com or bookings@yourfacility.com). Users can create different letterhead styles and templates for each of the sender addresses to give each a unique style and personality.

Testing Trigger messages has been simplified too. The update allows users to preview how Trigger messages will look as emails and SMS messages. Performing a “Trial run” on a message now sends a test of the ‘Recipe’ currently being worked on, by default, rather than requiring users to select it from a list of all of their current and past messages.

Target members by booking or course type

Our June enhancements also make it possible for Envibe users to improve the targeting of their Trigger messages by filtering members and other contacts by “Booking Types”, such as aquatics classes or personal trainer sessions. This makes it easier to reach the right contacts with Trigger messages and will play an important role in supporting facilities’ member retention and engagement strategies.

Cancelling memberships just got easier

Simplifying membership management is another focus area for Jonas Leisure. The latest round of update adds a “Remove Entirely” button on member profiles to make it simpler for administrators to cancel users’ memberships when required (e.g. if a client has missed payments or if a facility wants to release them from their contract for any reason). Previously users had to go through multiple steps to achieve the same result, so this saves time.

Multiple email attachments

Another change included in the June update includes the ability to attach multiple booking sheets to a single email when sending them to staff. Booking sheets include itemised lists of the program for the day in different parts of a facility (e.g. aquatics, gym, indoor courts). Previously only one booking sheet could be attached per email, which meant multiple emails had to be sent to staff at facilities that use different booking sheets for different parts of their business.

Diary view improvements

The readability of the courses and bookings ‘Diary view’ has also been improved to make it easier to read at a glance. The diary now displays only the hours when a facility is open, by default, rather than a full 24-hour day. This has been done to make the diary easier to use but it is still possible to view the diary as a full 24-hour day if preferred.
